Enhancements

Microsoft Office Integration

An add-in is now available to provide Eclipse integration with Microsoft® Word, PowerPoint, Excel, and Outlook.  It works with all versions of these Office applications from 2003, forward; this includes 64-bit versions.

For all of these applications, a “Save To” feature is available to conveniently capture documents or email messages.  For Word, PowerPoint, and Excel there is also integration with the Eclipse versioning feature, so that documents can be checked out and opened in their native application, edited, and then checked back into Eclipse with just a couple of clicks.

Field Groups

Field Groups support docSTAR eclipse Smart AP Automation Software and other applications, which require sets of field values, like line items on a purchase order.

Field Group data are typically populated through the XML Batch Import.  They can be viewed and modified in the results grid and the document metadata panel.

Two workflow tasks have been added to verify Field Group data against an external data source through DataLink, identifying any mismatched sets of data (line items).

Field Formatting

On the Fields Admin page, a formatting code can be specified for each numeric, date, and date/time field, so that values of that field will be consistently formatted when they appear in results or in the document metadata panel.  One may choose from a list of common formatting codes or enter custom codes, such as those used for the Format Task.

Field Pattern Matching

Also on the Fields Admin page, a “Regex Requirement” may be specified for each field.  This allows the powerful (though arcane) Regular Expression syntax to be used to validate values of each custom field.  Any attempt to store a value that fails this validation will generate an error, using the specified failure message or a default failure message.

Import Jobs Management

A new administration page has been added to the web application to monitor Import Jobs.  Jobs can be selected by user, machine, or status.  Furthermore, an email address may be specified allowing a user to subscribe to a daily email report of failed import jobs.

New Workflow system Arguments for Integration

Workflow tasks which accept inputs can now access DocumentId and DocumentVersionId.  These internal unique identifiers are exposed so that integrated applications can access documents through the API.  Typically, one or both values would be output through a DataLink task.

Enhancements to Datalink – Include Documents

Two built-in parameters are now automatically available when the Include Documents (Incl. Docs.) option is enabled in a DataLink: @DocumentManifestPath and @DocumentPath.  The values of these parameters are set automatically at runtime to specify exactly where the document content file(s) and manifest file are located, so that they can be pushed out to an integrated database.

Furthermore, the Include Documents option is available in either a Read Data or Populate Data (Pop. Data) DataLink.  This added flexibility acknowledges the fact that either type of query can populate external data; the only real difference between them is whether they return a data set or if they return only the number of rows affected.

  • Change Assignee is now available in List Actions when viewing a document. (17764:8817)
  • A new user preference determines if the Workflow tab is refreshed every time one clicks on it. (17764:8999)
  • A notification system has been added so that information can be communicated by the system administrator to all users upon login. (17422:8584)
  • The Import Jobs management page now includes paging controls. (17422:8699)
  • The height of Title, Keywords, and Field text area inputs is now automatically remembered for each user. (17422:8965)
  • “Move To” has been added to the document view’s Action menu. Similar to the corresponding item in the Retrieve page’s List Actions menu, it moves the current document to selected Inbox or Folder, removing it from the Inbox (if any) and all Folders (if any) in which it is currently contained. (17422:9051)
  • The “Auto View” option was added to the scan and capture features, so that newly captured documents may be immediately viewed. (17295:8258)
  • A page may now be deleted from a multi-page content item without explicitly “bursting” it first. The delete page command will provide a confirmation prompt and then burst the content item and delete the page. (17295:8265)
  • Added Office 2013 email support to the client install. (17295:9014)

Bug Fixes

14.19.17937

9298 A bug was fixed, which allowed certain workflows – specifically those containing barcode and/or OCR – to try executing before the associated document had been imaged (rendered). The fix in this release causes such workflows to wait for imaging to be completed.
9338 The Send Email dialog has been reformatted to correct overlapping and misplaced text.
9350 Fixed a bug that prevented selection of a saved search, if that saved search contained a date criterion.
9352 Fixed a bug that prevented the Column Chooser from opening.
9372 A workflow task, which failed to reference a necessary DataLink, was found to produce a javascript error that was not visible to the typical user. Fixes were made to the handling of this and other workflow runtime errors so that clear and concise error messages are displayed.

9260 On rare occasions, import of an Outlook email with attachments could produce an error that referenced “@bookmarks”. This has been corrected.
9334 Custom fields – when there was a large number of them defined and many of them in a given document – would cause the browser to take a very long time to display that document. Changes were made to dramatically improve speed when displaying such documents.

8812  Import of documents with null data for numeric or date custom fields (XML, CSV, and QSP batch import modes) would trigger an error.  Now such documents import successfully, omitting the null field.

9147 Two-D barcodes, including QR, were not being recognized. They are now recognized when scanning and in workflow, however this remains an open issue for “lasso” barcode recognition (in the document viewer.)
9189 An issue that preventing saving of line items in certain cases has been fixed.
9191 A bug that caused improper display of document results including line items was fixed. (The column header for line items was missing.)
9202 An issue has been reported wherein, after paging through results, the original criterion (eg. looking in a specific Inbox) was inexplicably cleared. This is believed to be fixed.
9218 Saved searches which specify a relative date (egs. Today, Yesterday, Last 7 Days… etc.) were storing the actual date on which they were saved, rather than always operating relative to the current date. This has been corrected.
9241 Fixed an issue that caused documents with very large amounts of document text were causing a JSON error when they appeared in results.
9246 ‘Key Exists in Dictionary’ would sometimes appear in the Event Log when verbose logging is enabled. This has been corrected.
9247 A number of fixes and improvements were made on the Import Job Management tab of the Systray. The horizontal split is now resizable, null reference exceptions related to thread timing have been fixed, and the number of data reload events when retrying many jobs has been greatly reduced.
9254 Fixes were made to the workflow engine to prevent or resolve database deadlocks and errors saving results.

9158 When rendering large volumes of Office documents, a corrupt document or other error would sometimes keep an instance of the corresponding Office application open, tying up system resources (memory). Over time, this could lead to the client station running out of memory, leading to various possible errors including the message, “Close programs to prevent information loss.” A fix has been put in place that ensures any instance of any Office application launched by eclipse is shut-down when complete or after a reasonable period of time, preventing this condition.
9169 Corrected the formatting of certain workflow chat entries.
9174 Documents that cannot be rendered by eclipse are now detected as such during import pre-processing (if enabled). Formerly, such documents were queued for rendering and only later were recognized as “unsupported”.
9182 An indexing error would result when document metadata (particularly OCR text) contained null and certain other non-printing characters, thereby preventing the document from being retrieved. Nulls and other non-printing characters are now ignored.
9195 An error would prevent retrieval, in some cases, of a document that had been approved in response to an approval request to a group, and then modified thereby clearing that approval. (The issue was observed in the Office Integration, which was unable to check in a document due to this error.) A fix has been made to ensure that documents with approvals of all types can be retrieved.

9120 Fixed a bug whereby the some results would not appear in the Workflow tab when they should have done so, because the current user was indirectly assigned (or owned) the workflow item(s) via a group.
9152 The annotation tools flashed briefly, in some situations, when stepping through pages of a document. This has been fixed.
9155 Fixed a bug, which prevented Approval data from being displayed in a column in the Retrieve or Workflow tabs.

8823 Advanced scan settings would disappear periodically, but would be restored when the user refreshed the page. The cause was found and fixed, so that the settings remain present consistently.
8903 Custom fields of type, ‘double’, are no longer supported and if present from a prior version would prevent a document from opening properly. They are now converted to ‘decimal’.
8909 Workflow documents would enter a “state not set” condition after executing the Change Workflow Task. This has been corrected.
8941 Fixed an issue that prevented the “auto wild card” option from returning certain results.
8962 Assignee and Workflow Step Name were not sorting properly in the Workflow tab; now they do.
8963 Barcode tasks which read the whole page (no region set) were not returning any data. This has been fixed.
8969 In some cases, if an error occurred while Submitting captured documents, the error was not displayed. This would leave the user with no indication that an error occurred or not. Any error is now displayed.
8970 A search for “Title Contains …” was also returning documents whose document text and/or annotation text contained the specified text. Now, this will truly perform a “Title” search.
9001 Formatting fixes were made to workflow prompts, including those from Combo box and User Prompt tasks.
9010 Support has been added for remote index servers, which are not on the same network as the business logic server.
9012 Fixed a bug whereby output fields in the Datalink Task would shift upward if one above them was blank. Now, any output may be left blank if desired.
9013 A bug in custom field export introduced in the prior 14.19 build has been fixed.
9014 Added Office 2013 email support to the client install.
9015 The Import Jobs administration page now properly displays Result and Exception data.
9036 Search performance has been greatly improved on documents with very large numbers of documents, pages with document text, custom fields, and/or annotations.
9068 Email Batch Import, with the “one document” option on and preprocessing enabled, would sometimes fail to capture the email document. We believe this was due to a file-in-use condition caused by MS-Outlook. A Lock Retry setting was added so systems experiencing this problem could be adjusted to give Outlook more time to release the file.
9073 Adding a configurable threshold to optimize memory usage (and thereby increase performance while avoiding an out of memory error) when re-indexing.
9079 The Submit button in the workflow panel would fail when the user lacked permission to the document’s content type. No error was displayed. This has been fixed so an appropriate message is displayed if an error occurs when submitting workflow inputs.
9090 A change was made to eliminate the likely cause of workflow documents being created with “state not set”. The problem was not reproduced internally, but we believe this is the needed fix.
